1. Participation & Selection

Participation in the ULTRA LUXURY FAM Trip is strictly by invitation only and subject to final approval by the organiser. Submission of an application does not guarantee participation. The organiser reserves the right to accept or decline any application at its sole discretion.

2. Participation Fee

A participation fee applies to all confirmed participants. The participation rate will be communicated individually upon final confirmation. Participation is only confirmed upon receipt of full payment. All participation fees are non-refundable.

3. Cancellation Policy

In the event of cancellation by the participant, for any reason whatsoever, the participation fee is strictly non-refundable and cannot be waived or reduced.

No refunds will be granted under any circumstances, including but not limited to personal reasons, business commitments, travel disruptions, illness, or force majeure.

Furthermore, in the event of cancellation within four (4) weeks prior to the scheduled travel date and following the issuance of flight tickets, the organiser reserves the right to charge an additional fee of EUR 1,500 to cover costs already incurred. The participant agrees to that procedure.

4. Flights & Travel Arrangements

International flights in Premium Economy Class (Frankfurt – Santo Domingo / Punta Cana – Frankfurt) as well as selected connecting flights (e.g. Munich, Prague, Vienna, Berlin to Frankfurt) are arranged by the organiser as part of the programme.

Participants acknowledge that flights are booked based on the information provided. Any changes requested after ticket issuance may result in additional costs, which will be charged to the participant. Missed flights or failure to travel will be treated as cancellation.

The organiser reserves the right to determine flight routing, airline, and booking class.

5. Programme Participation & Obligations

Participants are required to attend all official programme elements, including site visits, meetings, and scheduled activities, actively engage with partners, and represent their company in a professional manner.

Failure to attend key programme elements may result in exclusion from future invitations and may be treated as a cancellation.

6. Travel Insurance

Participants are solely responsible for arranging their own travel insurance, including cancellation, medical coverage, and baggage protection.

7. Programme Changes

The organiser reserves the right to modify hotels, routing, programme elements, and schedule at any time due to operational or external circumstances.

8. Substitution of Participants

Participation is personal and non-transferable. Any substitution requires prior written approval by the organiser.

---

9. Liability

The organiser acts as an intermediary between participants and service providers, including airlines, hotels, and transport providers. Liability is limited to the extent permitted by applicable law.

10. Media & Content Rights

Participants agree that photos, videos, and recordings taken during the FAM may be used by the organiser and its partners for marketing, communication, and promotional purposes.

11. Data & Confidentiality

Participant data may be shared with official partners of the FAM strictly for operational purposes.

12. No-Show Policy

Failure to attend the FAM without prior written cancellation will be treated as a cancellation and charged accordingly.

13. Performance Clause

The organiser reserves the right to prioritise future participation based on demonstrated business performance, engagement, and contribution during the FAM.

14. Final Provision

By confirming participation and submitting the registration form, the participant acknowledges and accepts these Terms & Conditions in full.

15. Payment Deadline

The participation fee must be paid within the specified deadline communicated upon confirmation. In the event of non-payment within the given timeframe, the organiser reserves the right to cancel the participation and reallocate the place to another qualified participant.

16. Flight Changes & Additional Costs

Any changes requested by the participant after flight ticket issuance, including name changes, routing changes, or schedule modifications, will be subject to airline conditions and any resulting costs will be charged in full to the participant.

17. Business Qualification

The organiser reserves the right to revoke participation at any time prior to departure if it becomes evident that the participant does not meet the required professional standards, business profile, or qualification criteria of the ULTRA LUXURY FAM.

18. Social Media Engagement

Participants are encouraged to actively share content during the FAM across their professional social media channels. The organiser reserves the right to prioritise future invitations based on visibility, engagement, and overall contribution.

Jurisdiction

These Terms & Conditions shall be governed by and construed in accordance with the laws of Germany.
